Manage your event
Once an event is live, everything happens in its organizer dashboard, reachable from Manage clubs → your club → Hosted events, or from the event itself.
Registrations
The main tab lists everyone who has signed up, filtered by state. Open any entry to see the participant's profile details, their answers to your custom questions, and whatever document you asked them to upload.
- Pending
- Registered, not yet decided. On approval-required events this is where everyone lands first.
- Shortlisted
- Your maybe pile. Useful when you have more applicants than seats and want to compare before committing.
- Accepted
- Confirmed. The participant gets their QR ticket and counts against your seat total.
- Rejected
- Turned down. Their seat goes back into the pool for someone else.
If you didn't turn on approval
You don't have to touch any of this. Free registrations confirm themselves, and paid ones confirm as soon as payment succeeds; the states are there for events that screen entries.
Check-in on the day
Every confirmed registration carries a QR ticket. Open the check-in screen on a phone at the door, point it at the attendee's ticket, and they are marked present. It is available for offline events, and it is the fastest part of the whole system: a queue of two hundred moves as fast as people can hold up their screens.
- The scanner rejects a ticket that has already been used, so one registration cannot walk in twice.
- Attendance is recorded as you scan, so the count you see afterwards is the real one.
- Have two coordinators scanning on two phones if you expect a rush; they stay in sync.
Rounds, for multi-stage events
Hackathons, contests and auditions rarely end with everyone who started. Rounds let you record who cleared each stage and take attendance separately per round, so by the finals you have an accurate list of who is still in, and afterwards, an accurate record of how far each participant got.
Analytics
The analytics tab shows registrations over time, ticket revenue and attendance against registrations while the event is still running. The registration-to-attendance gap is the number worth watching: it tells you how much of your promotion turned into people in the room, and it is what sponsors and faculty ask about afterwards.
Certificates
- 1
Design it once
The certificate builder lets you lay out your template: club branding, event name, the recipient's name, signatures.
- 2
Pick who gets one
Choose from your participant list. You can search and issue in bulk, and the screen tells you who was already issued one so nobody gets two.
- 3
Generate and send
Certificates are generated and emailed to recipients. Each one is hashed, and the hash is anchored on the Polygon blockchain.
What verification means
Anyone with the certificate can check it at scrollconnect.com/verify/<id>. The page recomputes the document's hash and compares it with the one recorded at issue time, so a recruiter can confirm the certificate is genuine and unedited without contacting your club at all.
When someone says they paid but has no ticket
Use Reconcile payments on the event dashboard. It re-checks the gateway for registrations that were charged but never confirmed (such as a closed tab or a UPI payment that settled late) and completes them. It is safe to run as often as you like; it never double-charges and never double-confirms.
If the sweep finds nothing and the attendee still has proof of payment, write to hello@scrollconnect.com with the event and the payment reference and we will trace it with the gateway.
Editing a live event
Details stay editable after publishing. Change a venue, extend the deadline, add seats to a ticket type, fix the description. To close registrations early, move the deadline into the past rather than deleting the event: the page stays up and existing registrations are untouched.
Handling participant data responsibly
You can see names, contact details, registration answers and uploaded documents for one reason: running this event. Using that data for anything else (a marketing list, sharing it outside the organizing team, or passing it to a sponsor) is a breach of our terms and will cost your club its access. Delete what you exported once the event is closed out.
Next
For paid events, the last step is getting the money: Payments and payouts.
