The questions clubs ask before their first event, answered without the sales pitch.
Does it cost anything to host an event?
No. Listing an event, taking free registrations, checking people in and issuing certificates are free for clubs. On paid events a small platform fee is added on top of your ticket price and paid by the buyer, so your club still receives the full price it set.
How long does club approval take?
About 15 seconds for most clubs. Automated screening checks your name and description, matches your institute and looks for duplicates, then your club goes live and you can start hosting free events immediately. If screening flags something, the club is held for a human to review instead of being rejected, and we reply to your contact email within a couple of working days.
What is the difference between a live club and a verified club?
Live means you passed automated screening — your club exists and works. Verified means a person at ScrollConnect has confirmed it is genuine, which removes the Unverified tag and unlocks paid ticketing. Verification is manual and usually follows within a couple of working days.
Why can't we sell paid tickets yet?
Paid ticketing requires a verified club. A club that has only passed automated screening can host free events, take registrations, scan check-ins and issue certificates, but cannot collect money until a person has verified it. If your paid event is time-sensitive, email hello@scrollconnect.com.
Can I host an event without registering a club?
No. Personal accounts can register for events, write blogs and collect certificates, but publishing an event requires an approved club and a coordinator role on it.
Who can register a club: does it have to be the president?
Any logged-in student can apply, but it should be someone who will still be around next semester. The applicant becomes the club's first coordinator and can then add the rest of the committee.
Can two clubs run the same event together?
Yes. Add the others as co-host clubs when you create the event. Co-hosts appear on the public event page; the primary host club owns the dashboard and the payouts.
Can I edit an event after publishing it?
Yes, everything except the hosting club stays editable. To close registrations early, move the registration deadline into the past instead of deleting the event, so the page stays up and existing registrations are unaffected.
Do we need our own payment gateway account to sell tickets?
No. Paid tickets are collected through Cashfree using our merchant account. Your club only needs to record a bank account or UPI ID to receive its money.
An attendee says they paid but has no ticket. What do I do?
Run Reconcile payments from the event dashboard. It re-checks the gateway for anyone charged whose registration never confirmed and completes them. It is safe to run repeatedly. If that finds nothing, email hello@scrollconnect.com with the event and payment reference.
What makes ScrollConnect certificates verifiable?
Each certificate is hashed when it is issued, and the hash is anchored on the Polygon blockchain. Anyone can verify a certificate at scrollconnect.com/verify/<id>, where the document's hash is recomputed and compared against the recorded one, so a recruiter can confirm it is genuine without contacting the club.
Can we check people in without printing an attendee list?
Yes. Every confirmed registration carries a QR ticket. Open the check-in scanner on a phone at the door and scan each attendee in. Already-used tickets are rejected, and attendance is recorded as you scan.
Can we restrict an event to students of our own college?
Turn on approval required so you confirm entries yourself, and ask for a College ID as the required document. Between the two you can screen anyone who does not qualify before they are confirmed.
What can organizers do with participant data?
Use it to run the event, and nothing else. Names, contact details, registration answers and uploaded documents may not be used for marketing lists, shared with sponsors, or passed outside the organizing team. Misuse costs the club its access.
Our institute is not in the list. Can we still sign up?
Yes, suggest it from the institute picker during signup or club registration. The team reviews the suggestion and adds it, usually quickly.
How do we hand the club over to next year's committee?
Add the incoming coordinators before the outgoing ones graduate, then remove the people who have left. The club, its page and its entire event history stay exactly where they are.
