Payments and payouts
How money reaches your club when you sell tickets: who pays what, what happens when a payment goes sideways, and how you get paid.
What it costs to host
Listing an event, taking free registrations, scanning people in and issuing certificates cost your club nothing. There is no subscription and no listing fee.
On paid events a small platform fee is added on top of your ticket price and paid by the buyer. If you price a ticket at ₹200, the buyer pays ₹200 plus the fee, and your club is owed the full ₹200.
Before you can charge: get verified
Paid ticketing is only available to clubs a person at ScrollConnect has verified. Passing automated screening makes your club live and lets it run free events straight away, but collecting money from students needs a human to have confirmed the club is genuine.
Verification usually follows within a couple of working days of registering. If your paid event is time-sensitive, register the club early and email hello@scrollconnect.com. See Register your club for the difference between live and verified.
How collection works
Ticket money is collected through Cashfree, an RBI-regulated payment gateway, using our merchant account. Your club does not need a gateway account, and never sees card, UPI or banking credentials: those go straight to Cashfree, not to us and not to you.
- The attendee registers and a seat is reserved for them.
- They pay in the Cashfree checkout: UPI, card, netbanking, whatever they prefer.
- On success the registration is confirmed and their QR ticket is issued.
- On failure the seat is released back into the pool immediately.
Why a charged attendee never loses their seat
Payments fail in boring ways: someone closes the tab, a webhook is dropped, a UPI mandate settles four minutes later. So settlement is checked three independent ways: the browser polls while the checkout is open, the gateway calls us directly, and an hourly sweep catches anything both of those missed. Whichever arrives first confirms the registration; the others do nothing.

Getting your club paid
Collections land in our account first, then move to your club. Two things need to be in place:
- Payout detailsrequired
- Your club's bank account or UPI ID, recorded in the club dashboard. Use an account the club controls, such as a committee account or the college's, not a student's personal one, so it survives the handover.
- A settled eventrequired
- Payouts are released after the event, once collections have cleared the gateway. Only confirmed registrations with completed payments count, minus any refunds.
The amount your club is owed is visible in the dashboard as registrations come in, so you always know where you stand before the money moves.
Refunds are the organizer's call
If you cancel or change an event, the refund policy is your club's: we are the platform, not the merchant behind your event. We will help you sort out a disputed payment, but the decision to refund is yours. Say what your policy is on the event page before people buy; it prevents almost every argument.
Practical advice on pricing
- Price for the students actually attending, not for the budget you wish you had. Campus events die at the price point, not the idea.
- Use separate ticket types instead of one price for everyone: a cheaper in-house seat and a higher external seat is one event, two ticket types.
- An early-bird deadline gives people a reason to register this week rather than the night before.
- Remember the buyer sees the fee at checkout. Round your price so the total lands somewhere sensible.
Questions we can't answer for you
Whether your college requires event income to route through an official account, and whether your club needs faculty sign-off to charge for an event, are institute rules, not platform rules. Check before you publish a paid event; it is a much harder conversation afterwards.
